General Description of the Role
The HR Operations Coordinator supports the effective and efficient execution of core HR day-to-day transactions ensuring a “customer” experience consistent with Campari’s values and HR strategy. This position is responsible for managing the execution and continuous improvement of a variety of HR related people processes, initiatives and systems. The HR Process Operations Coordinator will be responsible for executing best in class HRIS administration for Campari Canada and will use a data-driven approach to support Campari’s HR Transformation and ways of working.
Key Responsibilities
HRIS & Data Management
- Manage the integrity of HR Master Data in SAP, ADP, and other databases, including Benefits and Group Retirement, for Campari Canada
- Serve as the HR subject matter expert (SME) for ADP Workforce Now and all payroll-related matters
- Input and maintain HRIS data in SAP, ADP, and any other activated systems
- Conduct regular audits of HRIS entries and benefit vendor payments, investigating and resolving discrepancies as needed
- Perform ad hoc data research using multiple sources to support effective decision-making and analysis
- Collaborate with Payroll and Accounting to reconcile employee records and pay-related issues
- Manage onboarding data entry for all new Camparistas in ADP Workforce Now and SuccessFactors
Reporting & Analysis
- Create and distribute standardized HR reports, recommending enhancements and automation opportunities
- Develop and deliver ad hoc employee data reports as needed
- Support HR budget tracking and analysis by preparing regular updates and reports
Records & Document Management
- Conduct regular audits of employee records to ensure accuracy and compliance
- Maintain both electronic and physical filing systems as required
- Ensure timely and accurate completion, storage, and retention of new hire documentation in accordance with Campari Canada standards
Recruitment & Talent Acquisition
- Support recruitment activities in SAP SuccessFactors, including position and requisition creation and maintenance
- Assist with candidate pool selection, interview scheduling, hourly pre-screening interviews, and intake coordination with hiring managers and HRBPs
- Facilitate background checks and collaborate with HRBPs and the Regional Talent Acquisition Team on candidate management
Onboarding, Offboarding, Employee Experience
- Support the Campari Canada onboarding program, coordinating stakeholders, communications, and orientation activities
- Coordinate with IT, Payroll, and other stakeholders to ensure new hires have access to systems and tools on day one
- Partner with the Toronto and Grimsby Facilities teams to ensure a positive first-day experience, including workstation setup
- Provide support to departing employees, addressing questions and concerns
- Ensure timely deactivation of system and facility access and return of company property in collaboration with IT and Payroll
Compliance & Policy Management
- Stay informed on Canadian employment legislation and ensure HR practices remain compliant
- Maintain and update Campari Canada HR documents, including policies, procedures, organizational charts, and job descriptions
- Revise HR Guidelines to reflect current ways of working
- Liaise with Health & Safety and Payroll on WSIB claims
- Support HR compliance requirements
- Maintain documentation of all country employee training
- Coordinate regular updates of required regulatory postings across all Campari Canada office locations
Budget & Vendor Management
- Process HR invoices accurately and in compliance with Campari Canada accounting procedures
- Monitor HR budget transactions and coordinate reclassifications as needed
Qualifications and Experience
- 1–3 years of HR administration experience
- Bachelor’s degree in Business, Finance, Human Resources, or a related field
- Foundational understanding of core HR processes and practices
- Basic knowledge of Canadian labor and employment laws
- Strong presentation and facilitation skills, with the ability to engage diverse audiences
- Proficient in Microsoft Office Suite, with advanced Excel skills for data analysis, KPI tracking, and reporting
- Experience with HRIS platforms, preferably SAP SuccessFactors
- Proven ability to collaborate cross-functionally, with a strong customer service orientation
