Role Context & Mission
Reporting to the Senior Director IT Strategy & Governance, the IT Project Portfolio Manager plays a strategic and highly visible role within the Global IT organization. Acting as the vital link between planning, governance, and project execution, this role ensures that all IT initiatives—at Group, Regional, and Local levels—are fully aligned with Business and Digital priorities.
The IT Project Portfolio Manager drives portfolio transparency, prioritization, and value realization, ensuring optimal resource allocation and providing leadership with clear, accurate, and timely insights into the overall IT project landscape. By establishing robust portfolio frameworks, performance indicators, and reporting mechanisms, the role strengthens governance and supports informed, high impact decision making.
The overarching mission is to maximize the value of technology investments, enabling the organization to deliver the right initiatives at the right time, and to translate digital ambitions into tangible, measurable business outcomes.
Key Responsibilities
- Support the intake, assessment, prioritization, and planning of IT initiatives, ensuring alignment with Business and Digital strategic objectives
- Coordinate Project Approval and Portfolio Review rituals, preparing high‑quality materials, facilitating discussions, and documenting decisions and required follow-ups
- Monitor project execution against scope, schedule (major milestones), budget, and expected benefits; proactively highlight risks, issues, and deviations, and contribute to mitigation actions
- Provide structured reporting, insights, and portfolio analytics to support data-driven decision-making for IT Leadership and governance bodies
- Ensure accuracy, consistency, and completeness of Portfolio data within the Project Portfolio Management (PPM) tool throughout the entire project lifecycle
- Maintain and communicate the IT Project Roadmap, ensuring visibility on timelines, priorities, and cross‑project dependencies at Group and Regional/Local level
- Contribute to the design, implementation, and continuous improvement of Portfolio Management processes, tools, KPIs, and governance frameworks
- Deliver training, guidance, and coaching to Project Managers, IT Business Partners, and other stakeholders on PPM methodologies, standards, and tool usage
- Foster strong, trust‑based relationships with IT Project Managers, IT Business Partners, and functional stakeholders to ensure effective collaboration and portfolio transparency
- Promote best practices in Project and Portfolio governance, ensuring adherence to methodologies and supporting organizational maturity in project delivery
Key Relationships
- IT Project Managers (Global, Regional, Local): coordination on initiative intake, planning, execution monitoring, and reporting, ensuring alignment, data quality, and timely updates across the portfolio
- IT Budget & Performance: partnership on financial tracking, forecasting, benefits realization, and portfolio value assessment, ensuring consistency between project delivery and financial performance
- IT Vendor Management: collaboration on vendor offer verification, contract adherence, SOW compliance, and performance monitoring across external partners supporting the project portfolio
- CIO Office / IT Leadership Teams: provision of structured reporting, dashboards, and insights on portfolio performance, risks, dependencies, and strategic alignment to support leadership decision‑making
Required Skills & Qualifications
Education & Professional Background
- Bachelor’s degree in Business Administration/ Economics, Information Technology, Management Engineering, or a related field
- 7+ years of experience in IT Portfolio Management, PMO, Project Governance, or similar roles supporting multiple IT projects/programs in a complex organizational environment
- Experience working in multinational or matrix organizations
Technical Skills
- Proficiency with Portfolio Management tools (preferably ServiceNow Strategic Portfolio Management – SPM or similar PPM platforms)
- Experience with reporting, data visualization, and dashboarding tools (ideally Power BI)
- Solid understanding of IT Project Portfolio Management, including prioritization, resource planning, Budgeting, and benefit realization
- Good knowledge of IT Budget Management principles (forecasting, capitalization/opex split, financial tracking)
- Familiarity with the Software Development Lifecycle (SDLC) and project delivery methodologies (Waterfall, Agile, Hybrid)
- Understanding of IT governance frameworks (e.g., PMI/PMBOK, PRINCE2, ITIL, or SAFe) is a plus

- Strong analytical mindset with the ability to interpret data, identify trends, and convert insights into actionable recommendations
- Excellent communication skills, both written and verbal, with the ability to effectively convey complex information to diverse audiences
- Proven ability to collaborate with cross-functional and geographically distributed teams, building trusted relationships across different organizational levels
- High level of ownership, motivation, and accountability to achieve assigned goals and drive continuous improvement
- Strong organizational skills with the ability to manage multiple initiatives, deadlines, and stakeholders simultaneously
- Demonstrated proactivity in identifying risks, issues, and opportunities for optimization
- Fluent in Italian and English (written and spoken)
Preferred Qualifications
- Experience in benefits management or value-tracking processes
- Knowledge of Enterprise Architecture principles
- Certification in Project Management or Portfolio Management (e.g., PMI CAPM/PMP, PMI-PBA, PMI-PfMP, PRINCE2, SAFe, ITIL Foundation).
