General Description of the Role

The Executive Assistant & Office Administrator provides comprehensive support to the Korea Managing Director and ensures smooth office operations in collaboration with the General Affairs (총무) team. This role combines high-level executive assistance with administrative and facility management responsibilities.

The position is based in the Seoul office during normal working hours, with occasional flexibility for urgent matters. The role involves handling confidential information and requires discretion, professionalism, and strong organizational skills.

 

Key Responsibilities and Activities

1.Executive Support to Korea Managing Director

  • Act as the first point of contact for internal and external stakeholders on behalf of the Managing Director.
  • Manage complex calendars, schedule meetings, and prioritize appointments.
  • Organize and coordinate business meetings and events, including venue booking, catering, and preparation of materials.
  • Arrange and manage business travel, including flight, accommodation, visa, and itinerary planning.
  • Prepare and process expense reports and credit card reconciliations.
  • Draft correspondence, presentations, and official documents as required.
  • Maintain confidentiality of sensitive business information.

 

2.Office Administration & General Affairs

  • Oversee day-to-day office operations, ensuring a professional and efficient working environment.
  • Manage office supplies, equipment, and vendor relationships.
  • Coordinate facility maintenance, security, and health & safety compliance.
  • Organize courier services, deliveries, and document filing.
  • Support HR with onboarding processes for new employees (e.g., induction coordination).
  • Assist with company events, team-building activities, and internal communications.
  • Handle administrative tasks related to legal entity documentation and official letters.

 

3.Financial & Administrative Support

  • Assist with invoice processing and expense tracking in collaboration with Finance.
  • Support budget monitoring for office-related expenses

 

Experience Required

  • 3+ years of experience as an Executive Assistant or in a senior administrative role.
  • Experience supporting C-level executives and managing confidential information.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent interpersonal and communication skills.
  • Proficiency in MS Office (Excel, Word, PowerPoint) and Outlook; experience with expense systems preferred.
  • Ability to work under pressure and meet tight deadlines.
  • Fluent in Korean and English (written and spoken).
