General Description of the Role
The Reception, Community & Events Coordinator enhances the employee and guest experience at Campari’s NYC Headquarters, serving as the primary point of contact for reception, guest hospitality, community engagement, and event coordination support. This role helps create a welcoming, organized, and hospitality-forward office environment that reflects Campari Group’s culture and standards.
This position manages day-to-day reception and guest experience operations, including visitor registration, VIP visits, office tours, and front-line hospitality support. It also contributes to broader HQ operations, including office supplies, onboarding coordination, employee engagement initiatives, and general administrative support.
In partnership with the HQ Experience team, the role supports the planning and execution of office events and community programs. This includes coordinating logistics, supporting vendors, and serving as an on-site lead for select events and activations. The role works closely with internal teams, ERGs, and external partners to deliver seamless, high-quality experiences.
Success in this role requires strong organization, adaptability, attention to detail, and a hospitality-first mindset, along with the ability to manage multiple priorities and build strong relationships across stakeholders.
Mission & Objectives
Ensure a well-maintained, productive, and efficient office environment by overseeing daily facility operations, coordinating maintenance services, and managing mail and package logistics. Collaborate with vendors, service providers, and the HQ Experience team to deliver high-quality maintenance and mail services, while embodying operational excellence and soigné hospitality.
Key Responsibilities & Activities
Reception, Guest Experience & Community Coordination
- Manage Reception & Guest Experience Operations: Serve as the primary point of contact for guests and visitors, managing reception flow, guest registration, and a welcoming front-of-house experience.
- Deliver Elevated Guest & VIP Experiences: Coordinate guest and VIP visits from arrival to departure, ensuring smooth logistics and high-touch hospitality aligned with Campari standards.
- Support Office Onboarding: Partner with HR and HQ Experience to support onboarding, including office tours, key access setup, welcome coordination, and new hire support.
- Support Employee Engagement & Culture: Assist with ERGs, engagement programs, and office initiatives that strengthen culture and enhance the employee experience.
Event Coordination & Execution
- Support Event Planning & Execution: Assist with coordination and execution of internal events, meetings, trainings, and activations in partnership with HQ Experience and Academy teams.
- Manage Event Logistics: Support catering, vendors, room setup, AV coordination, timelines, and day-of execution, serving as on-site support or lead as needed.
- Coordinate with Vendors & Partners: Liaise with internal stakeholders and external partners to ensure smooth communication and execution aligned with standards.
Admin & Other
- Provide Administrative Support: Assist with office operations including supplies, purchasing support, invoice processing, and shared resource management.
- Maintain Documentation: Keep SOPs, onboarding materials, and event documentation organized and up to date.
- Deliver Service Excellence: Provide proactive, solutions-oriented support to employees, guests, and event participants.
- Support Additional Projects: Assist with ad hoc initiatives supporting HQ Experience, culture, and operational excellence.
Education / Professional Qualifications
- Relevant Experience: 1-3 years of experience in office management, event management, or a related hospitality role.
- Bachelor’s Degree (preferred but not required): Degree in Hospitality Management, Business Administration, Event Management, or a related field.

- Proficiency in Microsoft Office & Collaboration Tools: Strong working knowledge of Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
- Experience with Event & Experience Management Tools (a plus): Familiarity with systems and platforms used for event planning and execution, including event order systems, design tools such as Canva, and floorplan or seating tools (e.g., Tripleseat or similar platforms).
Other
- Availability for Extended Hours: Ability to work extended workdays and weekends when required.
Essential Job Functions
- Ability to lift and carry up to 50 pounds as required for various tasks.
The expected base salary for this position ranges from $60,000 - $70,000. Salary offers are based on a wide range of factors and considerations. In addition to base salary and a generous employee benefits package, employees are eligible to receive a discretionary bonus.
