General Description of the Role

 

We are seeking a highly organized and dedicated Executive Assistant to provide comprehensive support to the Managing Director, India. The ideal candidate will have exceptional organizational, communication, and time-management skills, along with the ability to handle a wide range of administrative tasks.

 

Key Responsibilities

 

Scheduling and Calendar Management:

  • Manage and maintain the executive's schedule, including appointments, meetings, and travel arrangements.

  • Coordinate and prioritize appointments and events to ensure optimal time management.

 

Travel and Logistics:

  • Arrange and coordinate travel plans, including flight bookings, hotel accommodations, and transportation.

  • Prepare travel itineraries and ensure smooth logistics for business trips.

 

Task and Project Management:

  • Assist in managing various projects and tasks by tracking progress, setting deadlines, and ensuring completion.

  • Help prioritize and handle incoming requests and tasks, ensuring timely follow-up.

 

Confidentiality and Discretion:

  • Handle sensitive and confidential information with the utmost discretion and professionalism.

  • Maintain a high level of confidentiality in all aspects of the role.

 

Administrative Support:

  • Oversee the general administrative functions of the office

  • Coordinate and schedule meetings, conferences, and other events.

  • Manage office supplies and equipment, ordering as needed.

  • Help with ad-hoc tasks and projects as directed by the MD.

 

Office Management:

  • Liaise with office management vendor, external vendors and service providers for office-related needs.

  • Supervise office staff

  • Ensure office operations run smoothly, maintaining a clean and well-organized workspace.

  • Handle office finances, including budgeting and expense tracking.

 

Communication and Correspondence:

  • Act as the primary point of contact between the MD and internal/external stakeholders.

  • Handle incoming and outgoing communications, including emails, phone calls, and mail.

  • Draft and proofread documents, reports, and presentations.

  • Draft and distribute internal and external communications, including announcements and reports for the MD

  • Coordinate and facilitate effective communication within the office.

 

Experience Required

 

  • 5 years +

  • FMCG or Liquor Industry experience preffered

 

Qualifications & Core Skills

 

  • Bachelor's degree in business administration, management, or a related field (preferred).

  • Proven experience as a personal assistant or executive assistant.

  • Excellent communication and interpersonal skills.

  • Strong organizational and multitasking abilities.

  • Proficient in office software (e.g., Microsoft Office Suite) and communication tools.

  • High level of discretion and professionalism when handling sensitive information.

  • Strong problem-solving skills and adaptability.

  • Ability to work effectively in a fast-paced environment.

  • Knowledge of general office management and administrative best practices.

 

Specific Requirements:

 

  • Frequent travel within Indian subcontinent along with some international travel

  • Ability to work remotely without supervision
