General Description of the Role

 

The Facilities Experience Manager is responsible for controlling the administration and proper functioning of Campari Mexico's offices, carrying out tasks of administration of office resources and supplies, supervising operational personnel related to the management of the office, and ensuring that the office operates efficiently and smoothly, ensuring excellent communication. This role is also responsible for leading the hospitality experience, driving the activation of services and initiatives that enhance both the employee and guest experience at the Campari Mexico City office. The purpose of this role is to provide a best in class, concierge-like hospitality service to our employees and guests in a way that reflects the behaviours and culture of Campari Group.

 

Coordinates the safety compliance, maintenance and repair activities that must be executed in our facilities, supply of materials and equipment, courier and general services, planning and controlling the component areas of the service, to satisfy the requirements of the users and guarantee the optimal conditions of the Company's facilities.

 

Mission/Objectives

 

The mission of this role is to provide a best in class, concierge-like hospitality service to our employees and guests in a way that reflects the behaviours and culture of Campari Group.

 

This individual must ensure superior service through general administrative operations, developing, implementing, and monitoring quality guidelines and standards that reflect a service-minded approach.

 

This role is key on support and collaboration with Campari Academy team on bringing to life creative and inspiring cocktail experiences and drive education through excitement and curiosity

 

Key Responsibilities and Activities

  • General Office Administration
    • Full ownership of Facilities budget including Preparation, administration, and management, PO creation, invoice reconciliation, etc.
    • Oversee general office cleaning & maintenance (conference rooms, kitchens, bar, general facility).
    • Oversee key facilities operations (Mailroom, Maintenance, Safety).
    • Coordinate delivery service coverage.
    • Vendor and Contract Management: Negotiate and manage contracts with service providers (e.g., cleaning, security, maintenance) and monitor performance
    • Ensure that the furniture is in optimal working order, as well as have sufficient stock to fill the snack areas, bar, and bathroom kits.
    • Scheduling routine maintenance of all office equipment and general repairs (coordination of terms, conditions, and staff that executes a service or service contract renewals).
    • Oversee incident resolution (construction and other issues).
    • Identify and resolve facility-related issues. Take control of the meeting rooms in terms of cleanliness and support with coffee breaks, working-lunches, and in-office events.
    • Supply of stationery and cleaning products ensuring that there is always stock or placing orders for special material requests.
    • Develop and nurture office service standards, procedures, and practices that show pride and respect for others and the planet.
    • Provide support regarding the coordination of transfers/trips to Arandas, the Airport, and visitor locations from other countries.
    • Making reservations for the Centinela Grand Hotel in Arandas, in the case of international visits (from the USA or Italy).
    • Notify the Camparistas of their visitors and authorize their access at the reception of the tower lobby, after notifying them of such visits.
    • Introduction of our office to new Camparistas indicating the different office areas and policies to be followed in each of them.
    • Preparation of purchase orders and registration of new suppliers for general services.
    • Evaluate ongoing operations and implement improvements (e.g., sustainability, execution standards).
    • Prioritize guest and Camparista satisfaction; adapt to situational needs with the highest professionalism and discretion in all interactions.

 

  • Safety and building control

 

    • Establish and administer the Mexico City office safety program; coordinate drills and updates.
    • Implementation/coordination and monitoring of the Joint Commission on health and Safety for offices.
    • Coordination in conjunction with the general services analyst of the Campari multifunctional brigade.
    • Compliance Audits: Conduct regular inspections to ensure compliance with health, safety, and environmental regulations and lead any audit that is related to the building.
    • Security Systems Coordination: Oversee installation and maintenance of security systems (e.g., cameras, alarms, access control).
    • Contact key stakeholders like the building administrator, receptionists, guards, parking staff, and building monitors, as well as other offices where Campari México has presence.
    • Administration and management of parking access cards and/or turnstiles with the building manager

 

  • Travel & expense focal point MX

 

    • Serves as a point of contact with the Global Travel team at Campari, as well as with the service executive of the travel agency assigned to Campari
    • Carry out a session of doubts and questions with new campers once they complete the onboarding-Concur online course.
    • Provides information and advice if necessary, with expenses/travel issues
    • Support for lead team MX travel

 

  • Support at in-office events

 

    • Weekly coordination in the office of breakfast or events at the bar according to the calendar established by HR
    • Experience Design: Collaborate with HR and brand teams to design immersive hospitality experiences that reflect company culture
    • Communication with service providers, and preparation of the corresponding purchase orders.
    • Ensure that the necessary supplies are available for activities related to bar Campari.
    • Coordination of events in the office that have as their purpose a celebration or commemoration of a relevant date or event.
    • Coordinate annual assembly of the altar of the dead, Christmas tree.
    • Provide strategic and tactical direction for Hospitality operations (F&B, Events, Academy activations, reception, visitors).
    • Manage & coordinate the year’s end event with the approval of the HR function in terms of proposal, execution and budget assigned.
    • Plan and manage logistics for onsite group visits in collaboration with the receptionist.

 

Key stakeholders:

Internal: Managing Director, Lead Team, Human Resources Team, Campari Academy Team and Camparistas.

External: Travel agency AMEX GBT, Hotels JW Marriot, AC Marriot y City Express GDL, diverse suppliers, building administration team, WeWork management, vendors, visitors , local or governmental authorities.

 

Experience Required

 

  • Minimum experience of 5 years in a similar position or hospitality experience, with experience on managing teams for at least 1 year.

 

Education

 

  • Bachelor's degree in Administration, communication, or related.
